About this playbook

Last updated: 2026-11-03

The Qlik Cloud Admin Playbook is a repository of administrative best practices, organized by category and cadence, for operating a Qlik Cloud tenant (or set of tenants).

Information note
  • Advisory Nature: This playbook provides reference workflows and architectural guidance. These actions are not intended to be executed verbatim; they must be interpreted and customized to meet your organization’s specific requirements.
  • Testing Required: Do not implement playbook routines blindly. Thoroughly review and test all actions in a non-production environment, as some routines modify site configurations or remove assets.
  • Support Status: While hosted by Qlik, the Playbook is provided as-is for informational and guidance purposes. It is not a part of the officially supported Qlik product suite. Furthermore, any third-party tools referenced within these practices are not supported by Qlik. To suggest improvements or report inaccuracies, please use the feedback option provided on this page.
  • Not for Troubleshooting: This is a proactive optimization guide, not a break-fix manual. Following these best practices will, however, improve long-term stability by reducing technical debt and qualifying assets.

New here? Start with Getting started for a Day 1 / Week 1 / Month 1 walkthrough, and keep the Glossary open in another tab—most Qlik Cloud concepts (spaces, value meters, entitlements, Discovery Agent) are defined there.

Scope

This playbook covers the administration of Qlik Cloud tenant(s) across:

  • Qlik Cloud Analytics (Starter / Standard / Premium / Enterprise capacity-based, and Qlik Sense Enterprise SaaS / Business / Government user-based)
  • Qlik Talend Data Integration and Qlik Talend Cloud
  • Qlik Answers (the agentic experience and the earlier legacy experience—see Glossary → AI / Insight features for what agentic means here)
  • Qlik Predict (formerly Qlik AutoML)
  • Qlik Automate (formerly Qlik Application Automation)
  • Qlik Reporting Service
  • Qlik Data Gateways—Direct Access and Data Movement
  • Qlik Anonymous Access—a subscription that allows publicly embedding Qlik content for users who aren't tenant members

Subscription model

Almost every page in this playbook tags itself by subscription model, because the entitlement, capacity, and admin behavior differ. Identify which model applies to your tenant before reading on:

User-based Capacity-based Anonymous Access
Editions Qlik Sense Enterprise SaaS, Qlik Sense Business, Qlik Cloud Government Qlik Cloud Analytics: Starter¹ / Standard / Premium / Enterprise; Qlik Talend Data Integration Anonymous Access subscription, sold as an SMB or Standard base pack alongside a user-based or capacity-based subscription
User type Professional (creator) or Analyzer (consumer)² entitlement assigned per user Every authenticated user counts against purchased user capacity; capabilities controlled by roles.³ Visitors aren't tenant members and don't consume named-user entitlement
Capacity metric Named-user counts Value meters⁴ (see footnote for units): Data for Analysis, Data Moved, monthly Qlik Answers questions, monthly indexed pages, monthly reports, etc.—except Starter, which is priced per-user with a fixed cap, not a scaling meter Anonymous Capacity (RAM volume) and Anonymous Concurrent Sessions
Where to view consumption Admin console → Settings → Entitlements Admin console → Home dashboard; Data Capacity Reporting App Admin console → Home dashboard
Value-meter app available? Entitlement Analyzer (community) Data Capacity Reporting App (Qlik-supported) Home dashboard meters only

When a task only applies to one subscription model, the topic page says so explicitly: (User-based only), (Capacity-based only), or (Anonymous Access only).

¹ Starter is priced differently from the other three editions. It's priced per-user with a fixed 10 GB Data for Analysis cap, not a scaling value meter—sizing and overage guidance elsewhere in this playbook that assumes a scaling meter doesn't apply to Starter tenants.

² Analyzer isn't strictly consume-only. An Analyzer user with the Can contribute space role can add private sheets to an app (managed / shared space permissions). Authoring capability is expanding—verify current scope against Qlik's Analyzer space-permission pages before relying on a consumer-only assumption.

³ Capacity-based user-type history. Before February 2, 2026 capacity-based tenants also had a restricted Basic User tier; it was removed on that date. Qlik's own docs briefly used Full User for the remaining tier before dropping the Basic/Full distinction entirely in favor of generic User—this playbook still uses Full User in a few places for continuity with that transition, but don't expect to find the term in current Qlik UI/docs. Only relevant if you're reconciling against pre-2026 documentation or audit records. (Streamlining user types announcement)

⁴ Value-meter units (capacity-based subscriptions). Data for Analysis = the total analytics data brought into apps and, where applicable, stored in the environment as flat files (measured in GB). Data Moved = GB of source data ingested by Qlik Talend per month. Qlik Answers questions = count of assistant questions per month. MCP tool calls also count toward this meter, but not 1:1—only billable tool calls count (status-polling and similar housekeeping calls are excluded), and the counter increments only once a full multiple of five billable calls is reached (a partial group isn't rounded up). Indexed pages = count of knowledge-base pages currently indexed for Qlik Answers; unlike the monthly question quota, this capacity doesn't reset each month, and adding, updating, or deleting pages changes it. Reports = report executions per month from the Qlik Reporting Service (Word and PowerPoint formats included since August 1). Anonymous Capacity = RAM (in binary GB / GiB) consumed by all apps loaded into memory across tenant and anonymous sessions combined—not a measure of data served; Anonymous Concurrent Sessions = simultaneous anonymous viewers.

How to use this playbook

Each topic page follows a consistent format:

  • Cadence—Daily, Weekly, Monthly, Quarterly, or Yearly.
  • Subscription model—Which subscription(s) the activity applies to.
  • Roles—Which administrator role(s) can perform the activity. Abbreviations (TA, AA, DA, AuA, SAO) are listed on the Administrator roles page.
  • Estimated time—Initial is the time it takes to learn and complete the activity the first time; Recurring is the time per subsequent occurrence at the listed cadence.
  • Benefits—Why this activity matters.
  • Goal—How to perform the activity, with links to official Qlik sources.
  • Tasks—A role-tagged checklist.
  • Gotchas (when applicable)—Surprising or edge-case behavior to watch for; standardized section name across the playbook.
  • Automation helpers (when applicable)—Qlik Automate templates that reduce manual effort.
  • References—Underlying Qlik Help, qlik.dev, and Qlik Community links.
  • Tags—Cadence, category, and tooling tags for search and filtering.

For a single-page reference of every activity, see the cadence summary in the Home page.
